Why Is Microsoft 365 a Great Choice for UVA?
Our goal is to ensure that our systems enable our students, faculty, and staff to do their best work with modern, secure tools.
- The Microsoft 365 suite offers a powerful set of tools for collaboration and communication, all of which are securely integrated.
- Microsoft 365 meets the growing trend toward team-based education and work environments where team members may collaborate from anywhere on any device.
- It is the predominant toolset used by employers across the United States, which will be invaluable to graduating students entering the job market.
A single, shared platform can improve the ease of communication and collaboration.
A community of Microsoft 365 users is already well-established at UVA. Faculty and staff have been using Microsoft 365 (formerly Office 365) since 2017. All students have been given Microsoft 365 tools accounts for access to apps like Teams, OneNote, and OneDrive since 2020. All new students who enroll as of December 1, 2021, and after (including graduate and transfer students) are given Microsoft 365 tools and email. Students who also become employees (such as student workers and teaching assistants) receive UVA Email (Academic Microsoft 365) as their primary email and calendar account to facilitate ease of scheduling and collaboration with faculty and staff across the university.
Who Receives UVA Microsoft 365?
All enrolled degree-seeking & non-degree students receive Microsoft 365 apps — and some receive UVA Email (Microsoft 365 Outlook).
- New students enrolling on December 1, 2021, or later receive UVA Email (Microsoft 365 Outlook) and Microsoft 365 apps.
- Students who also become employees (e.g., student workers or teaching assistants) receive UVA Email (Microsoft 365 Outlook) as their primary email account.
- School of Law and Darden School of Business receive a Microsoft 365 account associated with their school in addition to a UVA Academic Microsoft 365 account.
- UVA's College at Wise students receive UVA Email (Microsoft 365 Outlook) and Microsoft 365 apps.
- School of Medicine students receive a UVA Academic Microsoft 365 tools account and UVAHealth HIT-managed Microsoft 365 email.
What's included:
- Microsoft 365 apps:
- All students have a Microsoft 365 tools account for access to apps like Teams, OneNote, and OneDrive. If you would like to opt in to Microsoft 365 so your email, calendar, and files will all be in one place, you may do so at any time.
- Microsoft 365 email/calendar:
- New students as of December 2021.
- Students with UVA Gmail can request UVA Email (Microsoft 365 Outlook).
- Students who also become employees (dual role) will receive UVA Email (Microsoft 365 Outlook) as their primary email. (Will retain access to existing Gmail account.)
- Students who opt in to Microsoft 365.
No new UVA Google accounts are being offered.
If you have an existing Gmail account and receive UVA Email (Microsoft 365 Outlook), you will retain access to your Gmail account, but new emails will be delivered to your UVA Email (Microsoft 365 Outlook) account.
All full- or part-time faculty & staff receive Microsoft 365.
- Some University-related Foundations are eligible for UVA Academic Microsoft 365 accounts; see your foundation IT Administrator for details.
- Faculty and staff in the School of Law, Darden School of Business, and UVA's College at Wise receive a Microsoft 365 account associated with their school.
- Faculty and staff with a primary affiliation in the School of Medicine receive UVA Academic Microsoft 365 tools accounts and UVAHealth HIT-managed Microsoft 365 email.

- Only get Microsoft 365 apps and must request a UVA Email account
- Sponsored Accounts:
- Not automated. Must request if needed and eligible
- Darden, Law, and UVA Health:
- Offer their own Microsoft 365 environments
- UVA's College of Wise
- Offers their own Microsoft 365 environment
*Includes anyone with a primary job assignment in Workday for School of Medicine or any job assignment for School of Nursing
Many Microsoft Licenses fall under the Campus/ESS Solutions Agreement for eligible employees and students. Other UVA employees not covered by the Campus Agreement may be covered under the Select Plus Agreement; please email Microsoft-software@virginia.edu for more information.

Two add-ins are currently available for UVA Microsoft 365 users:
- Mendeley Cite
- Sciwheel
To access these add-ins from the Microsoft Word toolbar:
- Click the Insert tab.
- Click Add-ins.
- Click My Add-ins.
- Click the ADMIN MANAGED tab.
- Select your desired add-in.
- Click the Add button.
The add-in will now be available at the end of your Microsoft Word toolbar.
UVA faculty and staff can suggest and/or request Microsoft 365 add-ins via the Microsoft 365 Add-In and 3rd party application integrations ServiceNow request form.
Please note that the request process is not immediate and does not guarantee access to any Microsoft 365 add-ins. When submitting your request, be sure to include the contract (if available) and all other relevant information in the business justification section.
